ROLE: Executive Assistant- Full Time

Location: Remote; anywhere in the U.S. (preference for NYC area)

We are currently hiring to help us scale and build a better future.Responsibilities of the Executive Assistant include:

  • Manage the CEO and President’s calendars, including coordinating speaking arrangements and making personal and professional appointments and prioritizing the most sensitive matters.
  • Coordinating travel arrangements for company executives and staff and preempt planning and logistical needs
  • Organize meetings, including scheduling, sending reminders, creating agendas and organizing catering when necessary for executives and staff.
  • Provide administrative assistance, such as writing and editing emails, drafting memos, transcribing calls and preparing communications on the executive’s behalf.
  • Attend meetings and take notes of discussion; prepare the initial draft of agenda and summaries.
  • Research and connect personalities, organizations and areas of interest as they relate to meetings and objectives of CEO and President.
  • Coordinate work with other URL staff as needed; play a key role in the coordination of staff efforts across the organization.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
  • Provide assistance on personal tasks, such as correspondence, scheduling appointments and other tasks as assigned.
  • Maintain confidential and sensitive information.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments as needed.

What we are looking for in a candidate:

  • Impeccable attention to detail
  • Proficiency at multitasking without dropping any balls; ability to manage very busy calendars with two very busy executives
  • Ability to adapt to different executive directives and styles
  • Ability to stay one step ahead of our executives, being proactive with calendar management and travel arrangements
  • Organizational skills that enable you to prioritize a varied workload. As priorities shift often, you must have the ability to handle competing demands and last-minute changes effectively
  • Exceptional verbal, written, and interpersonal communication skills
  • Excellent time management and problem-solving skills
  • Proficient in using the Google Suite
  • Excellent communication and presentation skills
  • Positive, professional, proactive, diligent and flexible approach to work
  • Interest in media and/or desire to understand or work in aspects of media are a big plus, such as marketing, public relations, event management, writing, editing, social media, etc.
  • Once there’s mastery of scheduling and the administrative needs, we encourage opportunities for growth
  • At least 1 year of experience in executive administrative support

Pay Range: $60,000.00 - $70,000.00 per year

Actual salaries will vary depending on factors including but not limited to location, experience, and performance. The range listed is just one component of URL Media’s total compensation package for employees.
