Job Summary The HR Payroll Coordinator provides comprehensive support with managing all aspects of the payroll process to ensure accurate and timely payment to employees. The Payroll Coordinator is responsible for collecting and verifying all necessary data, computing wages and deductions, maintaining employee records, resolving discrepancies, and ensuring compliance with federal, state, and local payroll laws and regulations. The Payroll Coordinator is adept at using HRIS, Payroll, and Time Keeping software systems and ensures adherence to federal, state, and local payroll regulations, company policies, and best practices. This role requires exceptional organization and professional communication skills, both verbal and written. The Payroll Coordinator will interact extensively with a wide range of employees and management across all departments of the organization. Key Responsibilities
- Assist with full payroll cycle, including gathering employee work data, verifying timecard accuracy, entering pay data, verifying deductions, formatting import files, and ensuring timely submissions.
- Provide payroll support and guidance to management and employees, explaining company policies and procedures.
- Participate in developing a company culture that emphasizes quality service, high performance, and continuous improvement.
- Must be thoroughly familiar with Employee Handbook and all company HR policies and procedures.
- Develop and maintain comprehensive knowledge of all aspects of the HRIS/Payroll and Timeclock systems.
- Maintain organization compliance with all federal, state, and local employment-related laws.
- Interpret, assist, advise, and respond to queries from managers, employees, former employees, and other parties in a timely manner.
- Manage sensitive and confidential matters, including personnel relations, organizational changes, and protecting the security of information, data, and files.
- Maintain and update HR files, records, forms, and databases while ensuing accuracy and confidentiality.
- Process, update, & review payroll for accuracy.
- Generate payroll reports and properly label and file electronically.
- Process payroll changes, employee changes, and enter wage garnishments.
- Answer payroll questions and provide resolution(s) to any payroll issues or errors.
- Review timecards and advise management of discrepancies.
- New hire orientation and setups in the HRIS system.
- Process E-Verify, I-9 Form, and I-9 Reverifications.
- Assist employees and managers with paid time off calculations and tracking.
- Conduct research, investigate, gather, and organize data and statistical information.
- Create new reports in the system, format, merge, and combine large excel files.
- Assist with integration of HR programs, policies, and procedures and their dissemination through meetings, presentations, and other delivery methods.
- Evaluate/recognize risks or potential liability issues and give recommendations for managing.
- Research specific state and/or local wage and pay ordinances and regulations as required.
- Respond to federal, state, and local agency notices and requests.
- Ensure proper, accurate and timely completion of compliance reporting and filings.
- Exercise individual judgment when dealing with issues or potential issues and escalate to manager attention in a timely manner.
- Enter information into databases and systems, compile data and prepare reports, spreadsheets, memos, and other documents.
- Perform records audits to ensure that all required employee documentation is collected and maintained properly.
- Process incoming payroll mail and respond to voicemails and emails promptly.
- General office administrative tasks: document preparation, copy, scan, fax, file, shred, prepare and mail correspondence, organize files, order supplies, etc.
- Other duties as assigned as business needs arise.
Qualifications
- Bachelors degree in Human Resources or related field.
- Payroll Professional Certification preferred.
- Minimum 3+ years payroll and HR related work experience.
- Computer Knowledge/Skills: MS Office, HRIS, Time Tracking, and other HR related systems.
- Strong Microsoft Excel skills, including advanced formulas and tools (pivot tables, v-lookup, merge, power query, etc.)
- Knowledge of employment laws, including Title VII, FLSA, FMLA, ADA, EEO, ERISA, etc.
- Professional in appearance and presentation, including in virtual workspace (camera usage is required and is an essential function of the job).
- Ability to write professional correspondence using proper grammar and spelling.
- Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.
- Must be able to follow instruction, track and follow through with tasks, and have a sense of urgency when required.
- Ability to prioritize and plan work activities to use time efficiently.
- Trustworthy, integrity, and personal accountability with adherence to the highest standards of ethical behavior and professional conduct.
- Must be organized, accurate, thorough, and detailed-oriented.
