About The Role We're looking for a highly organized and discreet Virtual Assistant to serve as the backbone of logistics, communication, and client experience. This role will allow the client to focus fully on delivering transformational results, while the Virtual Assistant ensures seamless operations and an exceptional experience for every participant. Responsibilities
- Onboarding
- Send, track, and manage NDAs, contracts, and payment confirmations.
- Set up each client’s private portal (Notion, Google Drive, or custom platform).
- Collect personal details (bio, intentions, goals, milestones).
- Send digital/physical welcome kits and orientation materials.
- Schedule initial assessment calls and sync with my calendar.
- Provide VIP contact details and establish clear communication channels.
- Scheduling & Calendar Management
- Manage all client sessions (monthly, quarterly, annual check-ins).
- Offer flexible rescheduling, prioritizing Ultra Hight Net Worth clients.
- Send reminders 24–48 hours before each call.
- Block post-session time for my notes, integration, or follow-up.
- Client Experience / Concierge Support
- Provide concierge-level support (travel, hotel, driver, chef) for in-person services.
- Manage luxury gifting (quarterly or milestone gifts).
- Handle VIP event invitations and RSVPs.
- Ensure seamless tech setup for calls (Zoom links, backup options).
- Documentation & Records
- Take and organize detailed notes and Akashic findings.
- Maintain private archives with recordings, notes, and insights.
- Track client goals, timelines, and progress.
- Prepare polished quarterly and yearly reports in branded formats.
- Communication
- Act as first point of contact for non-urgent matters.
- Triage messages (WhatsApp, Signal, email) and respond professionally.
- Draft high-touch communication on my behalf.
- Maintain boundaries by filtering non-essential requests.
- Finance & Admin
- Track payments and renewals.
- Send invoices and receipts.
- Flag upcoming renewals or payment delays.
- Manage expenses related to client experience (gifts, travel, concierge bookings).
- Special Extras
- Curate personalized resources (articles, books, podcasts, tools).
- Arrange bespoke celebrations (birthdays, anniversaries, milestones).
- Maintain client “preferences sheet” (wine, dietary needs, retreat logistics).
- Conduct confidential prep with client’s team, family office, or estate manager.

- Highly organized with exceptional attention to detail.

- Strong written and verbal communication in English.
