About The Role We are seeking a detail-oriented and proactive Jr. Executive Administrative Assistant to join our dynamic team supporting our executive leadership. This fully remote position requires the candidate to be based within the Eastern Standard Time Zone and to work aligned with this schedule. The successful candidate will play a crucial role in streamlining daily operations by providing comprehensive administrative support to multiple members of the Executive Leadership Team (ELT). The ideal individual will demonstrate strong organizational skills, discretion, and the ability to manage competing priorities efficiently in a fast-paced environment. This role offers an excellent opportunity for a self-motivated professional to contribute to strategic initiatives, facilitate internal and external communications, and support high-level executive functions, ensuring seamless business operations. Qualifications

  • 4-7 years of experience supporting senior executives, preferably in private equity-backed, high-growth, or fast-paced environments
  • Proven experience supporting multiple executives simultaneously
  • Exceptional organizational and time management skills
  • Strong critical thinking and decision-making abilities
  • High level of professionalism and discretion
  • Advanced proficiency in Microsoft Office Suite, especially PowerPoint; ability to quickly learn new systems and technologies
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks independently with minimal oversight
  • Demonstrated ability to build effective relationships across teams and functions
  • Experience in large-scale event planning and coordination
  • Proactive problem-solving skills and attention to detail
  • Self-directed and highly motivated with a collaborative mindset
  • Location in, and willingness to work during, Eastern Standard Time Zone hours

Responsibilities

  • Provide comprehensive administrative support to multiple members of the ELT, including C-suite executives
  • Manage complex and dynamic calendars, coordinating internal and external meetings and commitments
  • Arrange travel logistics, including airfare, ground transportation, hotel accommodations, and related arrangements
  • Prepare high-quality presentations, reports, and briefing materials for executive meetings
  • Assist with expense management, including processing invoices and payments
  • Draft, review, and respond to executive correspondence and emails on behalf of leadership
  • Handle sensitive and confidential information with professionalism and discretion
  • Anticipate needs, identify potential issues, and proactively resolve problems to ensure smooth operations
  • Support special projects, strategic initiatives, and cross-functional collaboration efforts
  • Build and maintain strong relationships with internal teams and external partners to facilitate effective communication
  • Organize and coordinate internal and external events, including logistics, meeting arrangements, and hospitality services
  • Assist with the management of executive schedules and priorities, ensuring deadlines are met
