About The Role We are seeking an experienced Executive Assistant and Project Coordinator to support our Global Cloud Business team within the Red Hat Field Sales division, ideally located anywhere along the East Coast within North America. In this pivotal role, you will report directly to the Global Cloud Business Leader and serve as the primary point of contact between the leader and various internal and external stakeholders, including executive teams, management, partners, and customers. Your responsibilities will include planning and organizing large-scale quarterly sales meetings, coordinating high-level customer and partner interactions, and ensuring prompt responses to critical correspondence. Additionally, you will act as a project manager for key initiatives, tracking progress and ensuring timely delivery of objectives. Your role also involves providing administrative support such as managing calendars, preparing expense reports, arranging travel, and supporting other leadership members as needed. - Minimum of 5 years of professional experience supporting senior executives in a fast-paced environment
- Proven track record of managing complex schedules, projects, and administrative tasks
- Strong organizational and planning skills with the ability to anticipate needs and prioritize effectively
- Excellent written and verbal communication skills in English; additional languages are a plus
- Proficiency in productivity software including Microsoft Office Suite (Word, Excel, PowerPoint) and relevant collaboration tools
- Experience creating professional presentations and handling budgets or financial data
- Ability to exercise sound judgment, maintain confidentiality, and operate within scope of authority
- Exceptional interpersonal skills and the ability to work independently with minimal supervision
- Experience coordinating high-level meetings, travel arrangements, and managing multiple priorities
Responsibilities
- Plan, coordinate, and attend management meetings, including setting agendas and maintaining action registers
- Create and manage an annual schedule of internal meetings, including quarterly business reviews and sales meetings
- Organize and facilitate quarterly performance review sessions for the Global Cloud Leader and management team
- Manage and monitor key projects and deliverables, ensuring deadlines are met and stakeholders are informed
- Ensure meetings are properly documented, including recording minutes and following up on action items
- Optimize calendar management to maximize productivity and allocate time effectively to critical activities
- Arrange all travel logistics, including schedules, accommodations, and necessary documentation using Red Hat’s tools
- Collaborate with Talent Acquisition to ensure a positive candidate experience during recruitment processes
- Handle expense reports, purchase orders, and other administrative tasks using company-approved systems
- Create compelling business presentations based on leadership input for internal and external meetings
- Support additional leadership team members with administrative and project management tasks as time permits
