B2B Project Coordinator – AI Multilingual Data Projects (Poland)

We specialize in designing multilingual conversational content and building high-quality datasets for next-generation AI agents.

We are currently looking to engage an independent contractor to provide project coordination services for AI multilingual language data projects.

This engagement is structured strictly as a business-to-business (B2B) contract and does not constitute an employment relationship.

Role overview

The Contractor will support the coordination of AI multilingual data projects, contributing to the end-to-end workflow of conversational data creation—from design and quality management to cultural localization.

The role focuses on project coordination, workflow management, and quality assurance, rather than direct supervision or hierarchical management.

Key Responsibilities 

• Support the coordination of end-to-end conversational data workflows, including design, QA, and localization processes 
• Facilitate communication between stakeholders, including client-facing communication via email or messaging platforms as required 
• Provide oversight of QA processes conducted by language reviewers, including feedback during QA stages and final validation before delivery 
• Coordinate delivery cycles (typically every 1–2 weeks), ensuring all deliverables are reviewed and confirmed prior to submission 
• Organize and coordinate project workflows, including assignment and tracking of deliverables 
• Support contributor coordination, including onboarding processes and related administrative documentation 
• Provide updates on project progress as reasonably required 
• Ensure alignment with project guidelines, quality standards, and timelines

Requiremnets

• Proven experience in AI-related projects or LLM data projects (e.g., data annotation, evaluation, or multilingual dataset workflows) 
• Demonstrated experience in project coordination or project management 
• Native-level Polish, enabling clear and professional communication with Polish-speaking contributors 
• Business-level English, with the ability to communicate effectively with multilingual stakeholders 
• Proficiency in Microsoft Office (Word, Excel) at an intermediate to advanced level, including the ability to manage data tracking, reporting, and workflow coordination using spreadsheets 
• Ability to understand project requirements and support timely delivery of results

Preferred Qualifications

• Practical experience working with LLM tools or APIs, including processing or validating text data using LLM-based workflows

Scope of Services

The Contractor shall provide project coordination services to ensure the efficient flow and quality of AI multilingual language data deliverables. This includes:

• Monitoring project milestones and facilitating stakeholder communication 
• Reviewing RFPs and providing input on service feasibility and resource needs 
• Structuring workflows and coordinating assignment of deliverables 
• Supporting contributor onboarding and coordination processes 
• Overseeing QA processes and performing final validation of deliverables 
• Coordinating delivery submissions and maintaining project documentation 
• Facilitating internal and external Q&A to ensure consistency and accuracy 

The services are limited to coordination and quality assurance of project workflows and do not include direct supervision or hierarchical management of personnel.

Projects primarily involve Polish, German, French, Italian, and Spanish language data.

The work does not require complex IT governance but requires a solid understanding of multilingual data workflows.

Independence of Services

The Contractor shall perform the services independently and is not subject to employer-style supervision.

The Contractor determines the manner, method, and schedule of performing the services, subject only to agreed deliverables and timelines.

Knowledge Transfer Phase

An initial knowledge transfer phase may be arranged with the current project lead to support transition and continuity.

This phase is limited to information exchange and does not constitute employment, training, or subordination.

Cooperation Model

• Independent contractor agreement (B2B)
• Remote-first, with full flexibility in work location
• Project-based engagement with an initial term of 3–6 months 
• Any extension subject to a separate written agreement between the parties 
• Flexible service delivery structure 
• No employment relationship or entitlement to employee benefits 
• Contractor uses own tools and resources unless otherwise agreed

Compensation

• Monthly service fee: EUR 3,500 – 4,500 (all-inclusive of taxes and business-related costs) 
• Final remuneration will be determined based on experience and scope of services 
• Payment is subject to the issuance of a valid invoice by the Contractor 
• The agreed fee constitutes full compensation; no additional expenses or benefits are reimbursed unless pre-approved in writing
