We’re seeking a junior or mid-level Operations Assistant who is highly organized, detail-oriented, and able to transform raw content (such as Loom videos, call recordings, or course materials) into clear, structured Standard Operating Procedures (SOPs) and workflows.
This role is not about building systems from scratch. It’s about working closely with the founder and team leads, receiving detailed video input, and converting that into clear documentation that others can easily follow and utilize.
You will be responsible for writing SOPs that will later be shared across teams or with client-side hires. That means your writing must show structure, logic, and clarity-not generic summaries or AI-generated text. We are not looking for someone who copies and pastes from ChatGPT. We need a real human who can understand the logic behind a task and document it with precision.

Bonus points if you’re familiar with Amazon FBA workflows or terminology - but it’s not required. We’ll provide the context.

RequirementsMust-Haves
- Excellent written communication skills in English
- Ability to follow video instructions (Looms, screen recordings) and convert them into structured SOPs
- Strong attention to detail and logical thinking, able to understand the why behind a task, not just the how
- Experience working with documentation tools like Notion and task/project systems like Notion and ClickUp
- Comfortable organizing folders, links, and systems in a clean and consistent way
- Proactive communicator—knows when to ask for clarification and when to problem-solve independently.
Nice-to-Haves
- Familiarity with Amazon FBA business processes (e.g., advertising, listing optimization, seller central, deals, etc.)
- Basic experience using Whimsical or similar tools for visual process mapping
- Prior experience writing SOPs or internal documentation for remote teams
- Understanding of what makes a good system easy to follow for others

What You’ll DoA. Turn Raw Inputs into SOPs
- Watch raw process videos → turn them into clean, teachable SOPs.
- Extract the key steps and logic behind each task or workflow.
- Write detailed, easy-to-follow SOPs using our Notion structure or internal templates.
- Ensure that SOPs are clear enough for someone with no prior context to follow and execute
B. Organize and Connect SOPs into Workflows
- Link individual SOPs into larger workflows.
- Label and group SOPs by department.
- Use visual tools like Whimsical to illustrate how SOPs connect when needed.
C. Maintain Operational Hygiene
- Keep our Notion SOP Library up to date and properly structured.
- Remove outdated or duplicate SOPs, and consolidate where necessary.
- Maintain consistency in naming conventions, versioning, and formatting.
D. Collaborate with the Team
- Ask clarifying questions when input is incomplete or unclear
- Share work in progress for feedback, and refine based on team suggestions
- Occasionally join internal calls or async check-ins to better understand project context

Your success in this role will be measured based on the clarity, quality, and completeness of the documentation you create. We’re not expecting speed at the cost of accuracy-we value clear thinking and user-friendly structure over rushed output.
What Success Looks Like
- SOPs are complete, accurate, and written in a manner that allows a new team member (or client-side hire) to follow them without additional assistance.
- Each SOP includes logical steps, formatting, relevant links, and any necessary context (e.g., prerequisites, tools used, variations, edge cases)
- All SOPs are placed correctly inside our Notion database, using our naming conventions and category tags.
- Workflow documents are delivered in alignment with video or call inputs, no major gaps or misunderstandings.
- SOPs are reviewed and approved with minimal rounds of rework or clarification.
- You consistently deliver assigned documentation or workflow tasks by the agreed-upon timeline.
KPIs We Track
- Number of SOPs or workflows delivered per week
- % of SOPs delivered that require no major edits
- Feedback score (internal team feedback after testing your SOPs)
- Completion of weekly or bi-weekly audit/cleanup tasks inside Notion or ClickUp
- Responsiveness and turnaround time for clarifications and revisions

Communication & Availability
We’re a remote, async-first team focused on output, not hours.
- We communicate via Slack for updates and quick questions.
- We’ll occasionally hop on Google Meet for alignment or clarification.
- You manage your own time, as long as you hit your weekly SOP/workflow targets and ask for what you need.
- No fixed schedule, but we prefer some overlap with Europe.
