The Executive Assistant will be responsible for managing the calendar and the administrative needs associated with the role (travel, expenses, etc.), while also providing executive administrative support to a broader team. Overview
- Hours: 20 hours per week
- Distribution: Spread across five days, allowing for responsive daily support (e.g., 4 hours per day or adjusted based on peak need).
- Flexibility: Exact hours can be adapted
Duties & Responsibilities
- Manage calendars and schedule meetings.
- Prepare and edit presentations and communications based on input from the senior leadership team.
- Manage the process of creating presentations including maintaining draft history.
- Scheduling and organizing meetings, appointments, and events to ensure the executive's time is used efficiently.
- Travel Arrangements: Coordinating travel plans, including booking flights, accommodations, and transportation, as well as preparing itineraries.
- Document Preparation: Creating, editing, and managing documents, presentations, and reports and communications
- Meeting Coordination: Organizing and preparing for meetings, including setting agendas, taking minutes, and following up on action items.
- Project Management: Assisting with or managing specific projects, ensuring deadlines are met and tasks are completed
- Keep a “tickler” file of projects and update and chase delegated tasks to ensure progress to deadlines, helping the Executive staff and BU meet deadlines.
- In the absence of Executive Staff, make responsible decisions regarding professional issues which might arise.
- Coordinate and prepare ERPA leadership and customer onsite and offsite meetings.
- Coordinate travel, following policies and procedures and work with travel agency and marketing to make travel/meeting arrangements.
- Confirm details and create itineraries.
- Prepare and file expense reports for the Executive Staff.
- Resolve straight-forward to moderately complex problems and issues, under general supervision.
- Handle administrative details and routine issues independently, and take responsibility for completing these on time.
- Arrange, compile and assemble materials for staff (and other) meetings including preparation of minutes as necessary.
- Screen and respond to internal and customer calls.
- Manage special projects as assigned.

- Strong initiative and good judgment is a must

- Ability to work under minimal supervision under tight time constraints
- Ability to work independently, but also partner as a team player
- Able to prioritize and multi-task
- Demonstrated ability to understand business concepts
- Demonstrated ability to maintain confidentiality
- Excellent interpersonal skills, dependability and the ability to communicate with all levels in the organization required
Qualifications
- 5+ years applicable experience and demonstrated success/knowledge
- 2 + preferably in a senior executive level support role
- Bachelor’s degree (or equivalent experience)
