About the role:

As Commercial & Medical Coordinator you will support our Commercial and Medical Team in France, coordinating a variety of internal and external deliverables to ensure that project commitments are being met.

You will have the opportunity to support the French affiliate organisation in daily administrative activities, internal and external communications, and data entry.

The Commercial & Medical Coordinator will also ensure adherence to the Company's regulatory and ethical standards and contribute to the implementation of internal policies and risk management to ensure legal and operational compliance. You will monitor business activities to ensure compliance with applicable regulations and collaborate with Management teams to ensure that promotional activity is completely aligned with the French Compliance requirement, with the respect of the Charter of promotional activity and certification framework. You can also contribute by bringing your organisational and innovative insights to the broader team to identify areas of improvement.

In addition, you will provide administrative support to the EU GM when required. Fluency in French and in English, both written and spoken, is required for this role.

Main responsibilities & duties:

  • Oversee day-to-day business administrative needs
  • Provide educational support on administrative tools (Concur/ Aspire / Papaya)
  • Liaise internally and externally including recruitment and HR for hires and contracts, onboarding including all IT and mobile equipment, fleet policy, business expenses credit cards, payroll
  • Vendor creation / creation and management of POs / billing / invoices
  • Maintain and manage French team relationships to proactively support upcoming priorities and projects
  • Support any training requirements for the Sales team organisations such as scheduling, checking attendance, and following up outstanding training of SOPs
  • Point of contact for internal and external stakeholders (KAMs, MSLs, suppliers, HCPs)
  • Coordination with all EU PNV departments (Legal/Finance/Marketing/Supply chain)
  • Sourcing of all suppliers’ services
  • Support GM and Medical Affairs Manager on their activities
  • Liaison with third party vendors for information exchange and document reviews
  • Support in contract management (HCPs, congress, vendors)
  • Support regular submission of French contracted activities to anti-bribery law and transparency declaration websites
  • Document management, uploading and review follow up
  • Support contract set up according to French specificities, in transversal collaboration with appropriate global / EU teams
  • Support congress related activities including:
  • Operational handling for booth organisation
  • Scientific leaflets build up, update, review and approval handling
  • Support to symposium organisation
  • Support digital projects (FRA, EU): website, newsletters
  • Monitor progress of projects against plan, define and collect metrics to track project progression and measure key deliverables
  • Leverage cross-functional relationships to ensure seamless coordination and responsiveness
  • Establish regular communication pattern to share information and updates with internal and external stakeholders throughout the duration of projects
  • Ensure GM management approval where required
  • Complete other activities that may be requested
  • Able to achieve all the tasks mentioned within the French regulatory framework

About you:

Candidates with strong administrative and project coordination experience, ideally gained within a pharmaceutical company, life sciences business, or similar commercial background, are likely to have the skills required to be successful in this role. We are also looking for:

  • Advanced education (BAC+3)
  • Fluent in French and English, written and spoken
  • Proven experience in project coordination / management within the biotech / pharma industry
  • Knowledge of the French regulatory framework (Charte de la Visite Médicale & Referentiel de la Certification)
  • Experience managing compliance files and conducting internal and external audits
  • Strong communication skills to work effectively with various stakeholders
  • Proficiency with IT including MS Office package, as well as Concur, SalesForce
  • Proficiency in using Project Management tools, Smartsheet, Excel and PowerPoint
  • Ability to understand and interpret compliance reports and analyse data
  • Ability to identify and manage compliance risks
  • Professional attitude with high attention to detail and a commitment to excellence
  • Ability to work independently and make informed compliance decisions
  • Excellent organisational and task prioritisation skills, with ability to manage multiple tasks simultaneously
  • Experience of working closely with third party vendors and consultants on project coordination
  • Critical thinking and ability to make informed decisions
  • Team player, with an enjoyment of working in a fast-paced, multi-disciplinary environment
