About the Opportunity:
The organization is an organic growth agency supporting B2B SaaS companies to drive growth through SEO and content. This Operations & Administrative Assistant role is responsible for ensuring smooth business operations, supporting processes across sales, marketing, client delivery, and recruiting, with a focus on efficiency and automation.
Responsibilities:
• Follow up on meetings and add tasks to the project management tool
• Monitor Asana for overdue tasks or blockers and notify the appropriate team member
• Follow up on incomplete timesheets from team members
• Build monthly time tracking reports for leadership to assess team capacity and hiring needs
• Build custom GPTs to help client teams streamline work and research
• Build SOPs for repeatable administrative tasks
• Use automations to generate content briefs with input from client teams
• Produce Clearscope reports
• Upload content into client content management systems such as WordPress and Webflow
• Maintain and update client content brief templates
• Support podcast publishing workflow
• Make updates to the organization’s website
• Repurpose content using AI workflows and upload to social scheduling tools for approval
• Draft initial sales proposals using AI workflows and presentation templates
• Organize sales proposals and client files in Google Drive
• Perform initial applicant screening and rate promising profiles
• Schedule candidate interviews using Ashby
• Support hiring for specialist roles with Clay sourcing and Ashby sequences
• Enable tool access and automation for freelancers (Drive, Airtable, etc.)
Requirements:
• 2+ years of experience as an Executive Assistant or Operations Assistant in a remote setup
• Outstanding written and verbal communication skills
• Strong organizational, proactive, and resourceful skills
• Ability to solve problems independently before seeking assistance
• Willingness to learn and take on evolving responsibilities as the team grows
• Familiarity with Asana, Airtable, Google Drive, Slack, Notion, 1Password, Calendly, and Fireflies.ai
• Basic understanding of marketing is a plus
• High attention to detail
• Receptive to feedback and eager to learn and improve
• Strong punctuality and deadline orientation
• Critical thinking and intellectual curiosity
• Process-oriented with a focus on efficiency and systemization
• Ability to make decisions quickly and iterate as needed
