Practice Manager / Assistant (Remote)

We are building the infrastructure for the future of psychiatry - starting with supporting psychiatrists to bring medicine-assisted therapy to the patients with the greatest needs.

We are seeking a highly organised, detail-oriented Practice Manager / Virtual Assistant to support our growing clinical operations.

This is a fully remote, part-time (0.5 FTE) role suited to someone who loves building systems and takes pride in ensuring nothing falls through the cracks.

The Role

You will support clinical and operational workflows across psychiatry and psychology services, ensuring seamless patient experience, accurate billing, and strong administrative governance.

This role is critical to maintaining clinical excellence and operational reliability as we scale.

Key Responsibilities

• Manage clinician calendars and appointment scheduling
• Oversee patient intake and onboarding workflows
• Coordinate communication with patients, referrers, and clinicians
• Manage invoicing, Medicare/DVA/private billing, and payment reconciliation
• Maintain Halaxy records and clinical documentation workflows
• Track compliance and administrative deadlines
• Improve and streamline operational systems
• Support leadership with execution and follow-through

Essential Requirements

• Highly organised with exceptional attention to detail
• Proven ability to deliver tasks on time and manage competing priorities
• Comfortable working independently in a fully virtual environment
• Strong written communication skills
• High integrity and discretion

Preferred Experience

• Experience using Halaxy
• Experience with psychiatry and/or psychology billing
• Familiarity with Medicare, DVA, and private health claiming processes
• Previous experience in a mental health or medical practice
