Associate Project Coordinator

Seeking an Associate Project/Account Coordinator with 1–3 years of experience to support the planning and execution of projects across cross-functional teams. Experience in healthcare advertising or medical communications is preferred. This role is ideal for someone highly organized, detail-oriented, and comfortable managing timelines and basic financial tracking.

Key Responsibilities:

• Support day-to-day project coordination, ensuring timelines, milestones, and deliverables are met
• Assist in creating and maintaining project schedules, tracking progress, and identifying potential risks
• Collaborate with internal teams to keep projects aligned and moving forward
• Help manage project finances, including budget tracking, updating scopes of work, and monitoring spend
• Coordinate meetings, prepare agendas, capture notes, and track action items
• Maintain accurate project documentation and ensure adherence to internal processes
• Support the delivery of project materials across various channels as needed

Qualifications:

• 1–3 years of relevant experience in project coordination or a related role
• Experience in healthcare advertising or medical communications
• Strong organizational, time management, and communication skills
• Experience working with project timelines and basic financial tracking
• Ability to manage multiple tasks in a fast-paced environment
• Proficiency in Microsoft Office and/or project management tools (e.g., Smartsheet, Asana, Workfront, or similar)
