About the Role

We are looking for an organized, details-driven Back Office Administrator.

Remote / Portugal, Ireland, Germany, Europe.

Fulltime (40 hours)

Responsibilities

  • Project invoicing: Create, issue, and track customer invoices for ongoing implementation projects.
  • Billing Accuracy and Collections: Coordinate with project managers and customers to ensure billing accuracy and timely payments.
  • Payroll Support: Prepare payroll data, update employee records, and coordinate with our payroll office for timely processing.
  • HR Admin: Draft and manage employment contracts, track leave balances, and keep personnel files up to date.
  • Purchasing: Handle procurement of laptops, software, and office supplies for new and existing team members.
  • Onboarding: Organize smooth new-hire onboarding — from paperwork to equipment setup — ensuring a great first-day experience.
  • General Admin: Assist with other back-office tasks as needed and make sure nothing falls through the cracks.
  • Documentation: Keep our data, documents, and records in top shape.
  • Communication: Liaise with customers, vendors, partners, and teammates to keep projects moving.
  • Event organization: Organize our annual team event in Europe.
  • Flexibility: Jump in where needed.

Qualifications

  • Profound experience in admin, operations, or a similar role.
  • Love executing efficient business processes, with reliability.

Required Skills

  • You’re detail-obsessed, organized, and love a good spreadsheet.
  • Strong communication skills — you’re clear, friendly, and proactive.
  • Comfortable with tools like Google Workspace, Excel, and (bonus!) CRM or ERP systems (XERO, or similar).
  • A self-starter who can prioritize tasks and make things happen.
  • A proactive, team-oriented mindset — we move fast, and so do you.

Preferred Skills

  • Great at writing in English.

Pay range and compensation package

€42,000 to €45,000, plus benefits.
